Virtual Mental Health Practice Administrative Assistant

We are looking for a dedicated and organized Virtual Administrative Assistant to support our team and streamline our day-to-day operations.

  • Manage schedules for therapists, including coordinating appointments and resolving scheduling conflicts.
  • Assist with onboarding new clients, including initial intake, verification of benefits, and other related tasks.
  • Handle phone calls, emails, and text inquiries professionally and confidentially.
  • Support billing activities, such as invoicing, tracking payments, and reconciling accounts.
  • Maintain accurate, up-to-date client records in compliance with HIPAA guidelines.
  • Assist with marketing efforts, including social media updates and newsletter preparation.
  • Coordinate and prepare materials for team meetings, training, and professional development activities.
  • Perform other general administrative tasks as assigned.


  • High school diploma or equivalent; higher education or specialized training is a plus.
  • Previous administrative experience, preferably within a healthcare setting.
  • Proficiency in Microsoft Office Suite and familiarity with virtual communication platforms like Zoom or Skype.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Familiarity with HIPAA regulations and a commitment to client confidentiality.
